Journals behind a lock. A close that finishes.

Month-end entries - accruals, allocations, depreciation, grant releases - are drafted by the bot in a OneDrive workbook your reviewers can open in Excel, then imported into the journal queue. The queue sits behind an authoritative post-lock: nothing reaches the general ledger until a person posts it, and a posted period can be closed so nothing drifts afterward.

book_je_drive_import → books_journal_queue_post · the queue can also be stopped mid-batch (books_journal_stop_posting) and undone by reference. Import is native - OneDrive workbooks or direct draft upload, no third-party import app required.

The bot does the heavy lifting

  • Reads the invoices and contracts you share in OneDrive, proposes the journal entry - and once you approve, books it with the supporting documents attached to the entry (book_je_attach_drive_doc).
  • Writes month-end workbooks in OneDrive so reviewers can check formulas in Excel before anything imports.
  • Queues entries for posting - and can bulk-undo its own batch by reference if you change your mind.
  • Imported entries stay first-class: once posted, they drill down and edit exactly like hand-keyed ones.

  • The post-lock is absolute: the general ledger changes only when a person posts the queue.
  • You can stop a posting run mid-batch with one click.
  • Grant releases and estimates stay flagged for your judgment before they queue.

Guardrail: The lock is the only one in Books, and it is yours. The bot can propose the close - it cannot lock the period. Once you set a closing date, the lock holds in both directions: nothing can be posted into that period, and nothing already posted can be undone out of it - not by a person, not by an AI - until someone reopens it with the password, on the record. That is the moment the month stops being a draft, and it is the only moment that does it.
